TimeLoom is our system to log the hours that we work for a particular team. It is also used to track the non-billable hours.

Non-Billable Tasks
Any tasks that you just performed outside client work.

- Beer-o-clock and other internal 25Friday leisure events
- Training & Personal Development
- Everyone can spend up to 8 hours/month and they must be added under this task
- Examples: Guild events; Tech talks; Any external training or conference
- Sick Leave
- For when you’re not feeling alright
- When you’re up to 3 days sick at home
- More than that requires a Medical declaration
- Let us if you’re not coming to work and tell the client as well
- Note: meal and transport allowance are not paid
- Medical Appointment

- HR Work / Interview
- Monthly 1-on-1s (only if it takes more than 1 hour)
How to book Non-Billable Tasks?
Go to Timetracking, add a new row and select the customer Non Billable, and choose one of the task under the “Not Billable” list.

When to Complete?
- Try to do it at least weekly, otherwise it may be hard to keep track of hours spent on the different tasks
- We need all Timesheets correctly booked by the end of each week

Timeloom Week View
- It’s important to book 8 hours per day and a total of 40 hours per week.
- You don’t need to be strictly accurate on the hours
- For example: if you work 8h10m or 7h50m, just put 8 hours.
- In case you work less than 8 hours in one day and then compensate those hours in another day, just put 8 hours in those days.
- Only applies for a couple of hours differences (up to 2 hours)
- If you need to take a whole morning or afternoon off, this needs to be discussed/approved with your coach
