Developer AI Stipend Policy

1. Overview

To support continuous learning and productivity, the company provides a monthly stipend for the engineering team to subscribe to Artificial Intelligence tools that assist with development tasks (e.g., code generation, debugging, or documentation).

2. Budget & Scope

  • Allocation: One tool per user (except the tools that are included in our Google workspace eg. Gemini CLI).
  • Usage: This budget is strictly for software subscriptions to AI tools (e.g., GitHub Copilot, ChatGPT, Claude, etc.).
  • Transferability: The budget is non-transferable and does not roll over to the next month if unused.
  • Monitoring : We will monitoring the usage of the AI tools on monthly basis. In case the tool is not used, the subscription will be cancelled.
  • Tools Switch : Any change of AI tools must be communicated before the end of the month; otherwise, a new subscription will only be started after the current one is cancelled.

4. Prohibited Tools

  • The use of AI tools, wrappers, or IDE extensions that are not included in the above list or in the company Google Workspace subscription is strictly prohibited.

5. How to subscribe?

  • First, get the stamp of approval via email from your own team in the Netherlands. (Ask the partner if they agree to use the desired tool).
  • After the approval, send an email to it@25friday.com or speak with Francisco or Joao.
  • In case you select a tool that doesn’t have a enterprise plan managed by 25Friday:,
    • Create a Spendesk subscription with the supplier and the monthly price (eg. Anthropic)
    • Once the subcription is approved, you will have a virtual visa card ready to be use
    • CRITICAL: Every month upload the invoice with the 25Friday financial details

6. Compliance & Invoices

Maintaining this benefit requires strict adherence to financial reporting standards.

For the tools that requires a personal subscrition is critical to follow the next rules:

  1. Create the account with the company email
  2. Make sure the billing information have the 25Friday VAT
  3. Create a new subscription card in the Spendesk
  4. Upload the monthly invoice via Spendesk every month

CRITICAL: If a developer fails to upload the monthly invoice for their subscription and the invoice remains missing, the AI Stipend budget will be cancelled effectively immediately.
